This Privacy Policy explains how Junxion Med Staffing, LLC ("Junxion," "we," "us," or "our") collects, uses, shares, and protects information when you visit junxionmedstaffing.com, use our Traveler Success Portal, apply for a travel healthcare assignment with us, refer another professional, or otherwise interact with our services.

We're a travel healthcare staffing agency placing travel nurses and allied health professionals in assignments across the United States. Our recruiters are 100% US-based, and protecting your information is a core part of how we do business.

2. Information We Collect

We collect different types of information depending on how you interact with us.

2.1 Information You Provide Directly

  • Contact information: name, email, phone number, mailing address
  • Professional information: professional license number(s) and state(s), credentials, certifications, work history, references, resume, skills checklist, specialty preferences
  • Identity and eligibility information: date of birth, Social Security Number (for tax and credentialing purposes), photo identification, proof of work authorization
  • Background check and screening information: results of background checks, drug screens, license verifications, OIG exclusion list checks, fingerprint clearance status (collected by our third-party providers)
  • Health and credentialing information: immunization records, physical exam results, fit-for-duty assessments, and other health information required for healthcare placements
  • Financial information: bank account or routing information for direct deposit, tax documentation
  • Referral information: if you refer another healthcare professional to us through our Refer a Friend program, we collect the referee's name, contact information, profession, and specialty
  • Communications: the contents of messages you send us, including form submissions, emails, SMS/text messages, and chat conversations
  • Voice call recordings: when you call us (or we call you), the call may be recorded for quality assurance, training, and credentialing-record purposes. We provide notice of recording at the start of calls and honor your request not to be recorded
  • Demographic information for credentialing and employment-law compliance: sex, marital status, race/ethnicity, and similar information when required by healthcare-client credentialing standards or applicable employment regulations
  • Survey and feedback responses: information you voluntarily share through surveys or feedback forms

2.2 Information Collected Automatically

When you visit our website or use our portal, we automatically collect:

  • Device and browser information: IP address, browser type and version, operating system, device identifiers, screen resolution
  • Usage information: pages viewed, links clicked, time spent on pages, scroll depth, referring website
  • Cookies and similar technologies: see Section 6
  • Location information: approximate location derived from IP address; we do not collect precise GPS location through the website

2.3 Information from Third Parties

  • Healthcare clients: facilities where you've been or may be placed may share information about you with us as part of credentialing, placement, or assignment management
  • Background check providers, license verification services, drug screening providers
  • References you provide (or who voluntarily contact us about you)
  • Public sources: state professional licensing boards, OIG and other federal exclusion databases, social media profiles you've made public

2.4 Sensitive Personal Information

Some of what we collect qualifies as "sensitive" or "sensitive personal information" under state privacy laws — including Social Security Number, financial account information, professional license details paired with identity, and health/medical information. We collect this only as necessary to place you in healthcare assignments, satisfy our and our clients' regulatory obligations, and pay you. We do not sell sensitive personal information. NOTICE: We do not sell sensitive personal information or biometric information.


3. How We Use Your Information

We use the information we collect to:

  • Place you in healthcare assignments: match you to open positions, share your profile with prospective client facilities (with your permission), coordinate credentialing and onboarding
  • Run and pay you for assignments: process payroll, taxes, benefits, and reimbursements; manage timesheets and assignment changes
  • Verify your credentials and eligibility: confirm licensure, run background checks and drug screens, check OIG exclusion lists, verify references, and meet our and our clients' regulatory obligations
  • Communicate with you: respond to inquiries, share assignment opportunities, send you important account or assignment updates, and (with your consent) send marketing communications including SMS messages
  • Improve our services: analyze website usage, measure marketing performance, conduct user research, develop new features
  • Operate the Refer a Friend program: contact referred professionals you tell us about (we'll always identify you as the referrer)
  • Comply with the law: respond to government requests, defend or assert legal rights, prevent fraud
  • Protect our business and users: detect and prevent security incidents, protect against fraud and abuse

4. Automated Decision-Making and Profiling

We use certain automated tools — including software in our customer relationship management (CRM) system — to support recruiter decisions. These tools may help us:

  • Route candidates to recruiters based on specialty and location
  • Identify candidates whose qualifications appear to match open assignments
  • Score or rank candidate profiles against assignment requirements
  • Pre-qualify candidates based on stated preferences

Human recruiters are responsible for significant decisions about placement, assignment offers, and assignment terms. Our automated tools function as inputs into recruiter workflows — for example, routing or scoring — not as the final decision-maker on hiring, compensation, or termination.

If you're a California resident and we use these tools to make a "significant decision" about you, you have the right to:

  • Receive a pre-use notice before our automated tools are applied
  • Opt out of certain automated decision-making, subject to limited exceptions
  • Request access to information about how the technology works and how its outputs are used

5. Who We Share Information With

We share personal information with the following categories of recipients, only for the purposes described above:

We do not sell personal information for money. We may share certain online identifiers and usage information with advertising partners for cross-context behavioral advertising — California, Colorado, Connecticut, and other state-law residents can opt out of this sharing (see Section 8).


6. Cookies and Tracking Technologies

We use cookies and similar technologies on junxionmedstaffing.com. Some are necessary for the site to function; others help us understand usage and improve the experience.

6.2 Specific Technologies

  • Google Analytics (GA4): measures site usage in aggregate. Configured with IP-anonymization where supported.
  • Google Tag Manager: loads and manages other tags listed here.
  • Google Ads conversion tracking: measures whether website visits originating from our ads result in form submissions or applications.
  • Google reCAPTCHA v3: detects automated bot submissions on certain forms (including the Refer a Friend form). reCAPTCHA analyzes user interactions and is subject to Google's Privacy Policy and Terms of Service.
  • Akismet: screens form submissions for spam. Submitted form content (including the message text, email, and IP address) may be sent to Akismet for analysis. See Akismet's Privacy Policy.
  • Cookie Consent Banner: records your consent preferences (banner config, geo-targeting, and script blocking are handled by our consent management platform).

6.3 Your Choices and the Global Privacy Control

You can manage cookies and tracking in several ways:

  • Use our cookie consent banner — or anytime via our Opt-out Preferences page — on first visit to accept or reject non-essential cookies
  • Change your preferences anytime via the "Cookie Settings" link in our footer
  • Enable Global Privacy Control (GPC) in your browser — when we detect a GPC signal we automatically treat your visit as an opt-out of sale/sharing for cross-context behavioral advertising. We display a confirmation that your opt-out has been honored. We honor GPC for residents of California, Colorado, Connecticut, Delaware, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, and Texas (the states whose laws currently require it) and treat it as an opt-out for all visitors regardless of state
  • Use your browser's "Do Not Track" signal — we honor DNT as an opt-out of non-essential tracking
  • Use your browser settings to block or delete cookies (note: this may break some site features)
  • Opt out of Google Analytics with the Google Analytics opt-out browser add-on

7. Healthcare Information and HIPAA

In our role as a travel healthcare staffing agency, we may serve as a Business Associate of certain hospital and health system clients under the Health Insurance Portability and Accountability Act ("HIPAA"). When we receive, create, transmit, or maintain Protected Health Information ("PHI") on behalf of a HIPAA Covered Entity, we handle that information under the terms of a Business Associate Agreement ("BAA") with that Covered Entity and in accordance with HIPAA's Privacy and Security Rules.

Important: This Privacy Policy describes our practices for the personal information of healthcare professionals (our candidates and travelers) and website visitors. It is not a HIPAA Notice of Privacy Practices for patients. If you are a patient of one of our client facilities, that facility's Notice of Privacy Practices governs how your PHI is handled.

8. Your Privacy Rights

Depending on where you live, you may have specific rights regarding your personal information.

8.1 Rights Available Across States with Comprehensive Privacy Laws

If you reside in a state with a comprehensive consumer privacy law — currently including California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia — you generally have the right to:

  • Know / access: confirm whether we process your information and request a copy
  • Correct: request that we fix inaccurate information
  • Delete: request that we delete information we hold about you
  • Portability: request a copy of certain information in a portable format
  • Opt out of sale or targeted advertising: opt out of certain data sharing for cross-context behavioral advertising
  • Opt out of profiling for significant decisions (in states that recognize this right, including California)
  • Limit use of sensitive personal information: limit our use of certain sensitive data categories
  • Non-discrimination: receive equal service and pricing even if you exercise your rights
  • Appeal: appeal our decision if we deny your request, in states that provide an appeal right

8.2 California Residents (CCPA/CPRA)

In addition to the rights above, California residents have specific rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act:

  • Right to know the categories of personal information collected, sources, purposes, and categories of recipients
  • Right to delete personal information we've collected, subject to legal exceptions
  • Right to correct inaccurate personal information
  • Right to opt out of the sale or sharing of personal information for cross-context behavioral advertising
  • Right to limit use and disclosure of sensitive personal information
  • Right to access information about automated decision-making technology used for significant decisions
  • Right to non-discrimination for exercising your privacy rights

Categories of personal information collected in the past 12 months: identifiers; characteristics of protected classifications including sex, marital status, and race/ethnicity (collected during credentialing as required by client healthcare facilities and applicable employment law); commercial information; internet activity; geolocation data (approximate); audio and electronic information (voice calls to and from our recruiters and support staff may be recorded for quality assurance, training, and credentialing-record purposes; we provide notice of recording at the start of calls); professional or employment-related information; education information; sensitive personal information (SSN, financial account, precise health/medical information for credentialing, license information).

Categories of sources: you directly; your references; healthcare client facilities; background check providers; license verification services; drug screening providers; public sources (licensing boards, OIG); cookies and analytics tools.

Sale / sharing: we do not sell personal information for money. We may "share" online identifiers and usage information with advertising partners for cross-context behavioral advertising — you can opt out via our cookie banner, the "Do Not Sell or Share My Personal Information" link in our footer, or by enabling Global Privacy Control in your browser.

To submit a request, email privacy@junxionmedstaffing.com or call (817) 242-0300. You may also designate an authorized agent. We will verify your identity before responding. We respond within 45 days; we may extend by another 45 days if needed and notify you.

8.3 Texas Residents (TDPSA)

Texas residents have the rights described in Section 8.1. Submit requests to privacy@junxionmedstaffing.com. You may appeal a denied request by emailing the same address with "Appeal" in the subject line.

NOTICE: We do not sell sensitive personal data or biometric data.

8.4 Washington Residents (My Health My Data Act)

If you are a Washington consumer, the Washington My Health My Data Act gives you specific rights regarding "consumer health data." We do not knowingly collect consumer health data through our public website. We may collect health-related information from healthcare professionals applying for assignments (as described in Section 2), and that information is collected in an employment context, which the Act treats differently from consumer health data. You have the right to confirm, access, delete, and withdraw consent for any consumer health data we may hold. Contact privacy@junxionmedstaffing.com.

8.5 Other States

Colorado, Connecticut, Delaware, Florida (Florida Digital Bill of Rights), Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Utah, and Virginia residents have the rights described in Section 8.1 under their respective state laws. Submit requests as described in Section 8.6.

We may need to verify your identity before responding (typically by confirming information you've already provided to us). For sensitive requests, we may require additional verification. Authorized agents may submit requests on your behalf with appropriate authorization.

We respond within the timeframes required by applicable law (typically 45 days). If we cannot fulfill your request, we'll explain why.


9. Background Checks and the FCRA

Before placing you in an assignment, we may run a background check, drug screen, and other pre-employment screenings through a third-party Consumer Reporting Agency. When we do, the federal Fair Credit Reporting Act ("FCRA") and applicable state and local laws apply.

You will receive:

  • A standalone FCRA Disclosure and Authorization form before any background check is run
  • A summary of your rights under the FCRA
  • If we make an employment-related decision based on the background check, a copy of the report and an opportunity to dispute its accuracy before the decision is final ("pre-adverse action notice")
  • A final adverse-action notice with information about how to dispute the report directly with the Consumer Reporting Agency

This Privacy Policy does not substitute for, replace, or modify the FCRA disclosures and authorizations we provide directly to you.


10. SMS / Text Message Communications

If you provide your mobile phone number, we may send you SMS/text messages — including assignment updates, recruiter outreach, and (with your express written consent) marketing messages. Standard message and data rates may apply.

  • We obtain prior express written consent before sending marketing SMS messages
  • You can opt out at any time by replying STOP to any of our messages
  • You can request help by replying HELP
  • Frequency varies; you may receive multiple messages per week depending on your assignment status and preferences
  • We do not share your mobile phone number with third parties for their direct marketing purposes

We work with multiple communications providers (our CRM platform and dedicated SMS/voice carriers) to deliver these messages. Those providers process your phone number only on our behalf.


11. Children's Privacy

Our services are not directed to children under 18, and we do not knowingly collect personal information from anyone under 18. If you believe we've inadvertently collected information from a minor, contact us at privacy@junxionmedstaffing.com and we will delete it.


12. Data Retention

We keep personal information only as long as necessary to provide our services and comply with our legal, regulatory, and business obligations. General retention periods:

When retention is no longer required, we either delete or de-identify personal information.


13. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including:

  • Encrypted transmission of data over the internet (HTTPS / TLS)
  • Encrypted storage of personal information by our hosting and CRM infrastructure providers
  • Role-based access controls and multi-factor authentication on systems that support it
  • Vendor due diligence and contractual security requirements with our service providers
  • Security reviews and incident response procedures

No method of transmission or storage is 100% secure. If a security incident affects your personal information, we will notify you as required by law.


14. International Users

Junxion operates in the United States and our services are intended for U.S. residents. If you access our website from outside the U.S., your information will be transferred to, processed, and stored in the United States.


15. Changes to This Policy

We may update this Privacy Policy from time to time. We'll post the updated policy on this page and revise the "Last Updated" date. For material changes, we'll provide additional notice (e.g., email or a banner on the site) before the changes take effect.
